Accounts Payable Specialist

The Role

Ensure accurate and timely processing of invoices, payments, and financial records to support smooth business operations and maintain strong vendor relationships.

Responsibilities

·       Process vendor invoices and employee reimbursements in an accurate and timely manner.

·       Match purchase orders, receipts, and invoices to verify accuracy and proper authorization.

·       Record all credit card transactions and reconcile monthly statements.

·       Reconcile vendor statements and resolve discrepancies or billing issues.

·       Ensure all payments are recorded properly in the accounting system.

·       Prepare and process check runs, ACH, and wire transfers based on due dates and company policies.

·       Maintain organized and up-to-date files for all accounts payable documents.

·       Assist with month-end closing processes, including accruals and reporting.

·       Communicate with vendors, internal departments, and management to ensure all payment issues are resolved promptly.

·       Recommend process improvements and contribute to efficiency initiatives within the finance department.

·       Maintain Accounts Payable Report for accuracy.

·       Monitor account balances

·       Maintain & establish relationships with new and existing vendors

·       Sales & Use tax returns

·       Perform other duties as required to support the Accounting Department

 

Competencies for Success

•   Experience in accounts payable or a similar accounting role preferred. 

 •   Strong attention to detail and accuracy in data entry and reconciliation. 

 •   Ability to prioritize tasks, meet deadlines, and work independently. 

 •   Proficiency in Microsoft Excel and accounting software (e.g., QuickBooks, NetSuite, etc.). 

 •   Excellent communication and interpersonal skills. 

 •   Professional integrity and ability to handle confidential information. 

 •   Strong problem-solving skills and proactive mindset. 

 •   Team-oriented and eager to support others when needed.
